Candidate Data and Document Policy

This policy explains how WorkRadar Canada treats Work Passport data, candidate documents, generated drafts, uploads, previews, and related privacy limits during staging and controlled paid pilot use.

Pilot-stage policy status

These public policies are pilot-stage drafts for staging and controlled paid pilot use. They are published for transparency and are subject to final legal review before broad public launch.

WorkRadar Canada does not claim these pages are lawyer-approved, final legal advice, or a complete public-launch compliance program.

Scope

This policy applies to Work Passport profile data, resumes, cover letters, uploaded documents, generated base documents, future job-specific drafts, document metadata, preview/open/download/print workflows, and candidate document audit events.

Candidates should not pay WorkRadar for candidate access at this stage. Candidate tools remain free unless a future paid candidate product is clearly introduced with separate terms.

Work Passport data

Work Passport data is candidate-provided information used for profile readiness, job matching, work preferences, and document drafting. Candidates are responsible for keeping their Work Passport information accurate.

WorkRadar should not treat Work Passport as employer-verified credentials unless a separate verified credential process exists.

Generated resumes and cover letters

Generated resumes and cover letters are drafts. They may be built from candidate-provided Work Passport data, job information, deterministic templates, or future AI-assisted tools.

Generated drafts must be reviewed by the candidate before use. They must not invent credentials, licences, education, employment history, work authorization, references, achievements, employer relationships, or other unsupported factual claims.

Uploaded documents

Candidates may upload documents only if they own them or are authorized to use them. Uploaded documents may include supported PDF, DOC, DOCX, TXT, and image files where validation rules allow.

Candidates should not upload malware, forged documents, stolen documents, unnecessary sensitive personal data, or third-party confidential information.

Preview and file handling limits

PDF and DOCX browser previews may not preserve all formatting. Dynamic PDFs may not preview reliably. DOCX conversion may differ from Microsoft Word. Preview does not prove a document is safe, complete, or legally valid.

Candidate data and document handling is being hardened. Public launch requires stronger final decisions for storage, malware scanning, preview sanitization, logging, retention, deletion, and backup handling.

Document privacy

Candidate documents are private by default. WorkRadar should not share candidate documents with employers unless the candidate intentionally uses a workflow that sends or exposes the document.

Employers must not sell, misuse, or repurpose candidate data or documents for unrelated marketing or non-hiring activity.

Browser storage and local copies

Some Work Passport and document workflows may use local storage, session storage, IndexedDB, and object URLs for draft continuity, preview, download, or local fallback behavior.

Browser-stored data can remain on a user device until product cleanup, browser settings, or user action removes it. This is one of the areas being hardened before broader public launch.

Retention and deletion gaps

Final retention and deletion rules for candidate profiles, uploaded documents, generated documents, account closure, backups, audit logs, legal holds, and support records are still being finalized.

During controlled pilot use, WorkRadar should limit document exposure, respond to deletion requests through the privacy request path where appropriate, and avoid claiming deletion or expiry behavior that has not been implemented.
